How long will it take to get an initial appointment?

When you submit your registration information it will go to one of our Intake Coordinators.  Once your application is reviewed for completion, we do our best to verify your individual coverage and benefits to ensure your insurance company will cover services and match you with your requested provider or someone who can see you in the most expedient manner.

If you are unable to complete our online form, you may also contact one of our Intake Coordinators by telephone to begin the registration process. Please keep in mind that this will not speed up the process.  For all new appointments in the Greenbelt Office, you may reach Tiffany (301-982-3437 extension 207).  For all new appointments in the Frederick or Olney offices, you may reach Evelyn (301-982-3437 extension 293).

The registration process from when all registration information is received may take up to 5 BUSINESS DAYS.

How much does it cost to see a therapist or psychiatrist?

All payments are due at the time of service, unless alternative arrangements have been made in advance with our Billing Department. This includes co-payments, previous balances, and payment-in-full for patients without a current, effective health insurance plan or those with plans of which their clinician is an out-of-network provider. Self-pay rates are as follows:

  • Psychiatrist and Physician Assistant: Initial Evaluation $300; Follow-up sessions: $150.
  • Nurse Practitioner: Initial Evaluation $200; Follow-up sessions: $100.
  • Sessions with an LCPC or LCSW-C: $180 per hour or $150 per 45 minutes

How do I make an appointment with a specific therapist or psychiatrist?

If you wish to see a specific therapist or psychiatrist, please be sure to make your selection on the new patient form.

Please note that our therapists (LCPC, LCSW and LMSW) schedule their own appointments. Your application will be provided to him/her and he/she will contact you directly.

What is your availability?

GWPC therapists return phone calls promptly, and are personally available for emergencies.

What is your availability outside our scheduled appointment time?

GWAC’s mission is to help clients alleviate acute psychological distress. Psychological distress can be caused by life crises and changes or mental disorders. We know that life crises often happen outside of normal office hours.

We provide additional psychiatry services such as emergency, weekend calls to pharmacies, report writing, medication management, and coordination of care.

What should I expect during my initial appointment?

Please arrive 15 minutes early to your first appointment with your insurance card(s) and photo identification (for an adult if patient is under 18). This will allow sufficient time for our front office staff to explain paperwork if not yet completed and for you to read over our policies and ask any questions you may have before signing forms. Paperwork must be signed before seeing your clinician for the first time.

You may bring copies of lab results or tests, other physician’s reports, Individualized Education Program (IEP) reports, etc. which you feel may be pertinent to your visit with us. Please bring copies with you so you are not giving away the original documents.

At your initial appointment we will design a treatment plan and begin to engage in addressing the problem. We are interested in getting to know each patient on an individual level so that we can understand their concerns and needs and how problems are affecting their day to day lives.

How long does treatment take?

The length of treatment varies, depending on the type of presenting issues and the patient’s treatment goals.

Why do you charge for missed sessions?

At GWPC we only schedule one patient per time slot. That time slot is effectively sold once an appointment is made.

We request that you provide our office with a minimum of 24 hours’ notice when cancelling or rescheduling appointments so that we can offer the time to another patient in need.

Appointments cancelled less than 24 hours of the scheduled day/time and no-shows will be subject to the following fees:

  • $95 – For appointments scheduled with Physician, Physician Assistant or Nurse Practitioner
  • $65 – For appointments scheduled with any LCPC or LCSW-C provider.

What is your policy on privacy and confidentiality?

GWPC offers a safe and confidential environment. No information from your treatment will be discussed with any third party unless we decide it is beneficial to your treatment.

How can I get a copy of my medical records?

We ask for a minimum of 72 hours’ notice to process all requests for medical records, although requests may take up to 14 days depending on current volume of requests. A Release of Information form is required to be signed by the patient, legal guardian, or Power of Attorney in order to release records. Our office abides by the State of Maryland medical record release fees, which include the preparation fee of $23.18, $.76 cents per page, postage and handling as applicable. These fees are required prior to release of any medical records.

Billing Questions

How can I find out if GWPC is a participating provider with my insurance?

To find out if GWPC is a participating provider with my insurance, you can:

  1. Contact your insurance carrier and ask them if the provider you want is in network, or
  2. Go to your insurance carrier website and verify if your provider is on their participating list.

It is the patient’s responsibility to verify benefits before services are performed. Any questions regarding coverage should be directed to your insurance carrier.

Can I pay my bill online?

Yes, paying your bill online is both a fast and secure way of making payment. You will need your statement to pay your bill online. If you don’t have one, please call 240-651-6983.

Why did I receive a bill?

The statement you received is for mental health services you recently received at Greater Washington Psychiatry and Counseling.

A few reasons you may have received an invoice include, but are not limited to, the following:

  • Insurance information was not received or the wrong insurance was received
  • The insurance carrier processed the claim and denied payment
  • The insurance carrier processed the claim and has applied the balance to your copay, coinsurance or deductible

There is an envelope enclosed with your statement or letter, which can be used to send any payment or additional information. Please address any checks or money orders to Hefuna Mental Health & Wellness and include your account number in the memo section of your check or money order. You can make a payment directly through the website by visiting Pay Your Bill. Online payments are secured through providerlink.com. Payments will be processed and applied to your account in 48-72 hours.

Why am I being billed for a deductible amount?

The deductible is an amount that your insurance plan requires you to pay out of pocket each year before they will begin to cover any of your medical expenses. If you have any questions about your deductible, please contact your insurance carrier directly.

Why am I being billed for co-insurance?

Co-insurance is an amount that your insurance company says you are responsible to pay “out-of-pocket”. For example, some insurance companies will pay an 80% rate for any in-network medical services but the remaining 20% is the patient’s responsibility to pay to pay to the provider of services.

Does GWPC have any arrangements for patients experiencing financial hardship?

GWPC does offer payment plan options for persons experiencing hardship.
